Responsibilities

  • Provide administrative support to senior executives, ensuring seamless day-to-day operations and efficient communication.
  • Manage and coordinate schedules, meetings, and appointments, ensuring timely and accurate dissemination of information.
  • Handle correspondence, including email, phone calls, and faxes, and respond to queries in a professional and timely manner.
  • Develop and maintain spreadsheets, databases, and other records to track information and provide insights.
  • Prepare and present reports, summaries, and other documents as required, utilizing strong communication and presentation skills.
  • Develop and implement efficient filing and organizational systems to maintain a clutter-free and efficient workspace.
  • Maintain confidentiality and discretion when handling sensitive or confidential information.
  • Perform tasks related to travel arrangements, accommodation, and other logistics as needed.
  • Develop and maintain positive relationships with clients, vendors, and other stakeholders to ensure excellent customer service.
  • Stay up-to-date with industry trends, best practices, and company news to stay informed and provide valuable insights.

Requirements

  • 1-3 years of experience in a similar role, preferably as an executive assistant.
  • Diploma or Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • Excellent communication, organizational, and time management skills.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and ability to multitask in a fast-paced environment.
  • Excellent problem-solving skills and ability to think critically and creatively.
  • Ability to work independently and as part of a team, with excellent interpersonal and communication skills.
  • Willingness to learn and adapt to new software and systems quickly.
