HR Functional Administrative
Transportation Management
- To update and maintain data of company transport users on monthly basis
- To monitor and implement transport management & billing process
- Liaise with Operation Team & transporter for daily transport arrangement, overtime or any Hershey event
- To handle employee grievance on transportation issue
Canteen Management
- To manage the plant canteen facility
- To provide headcount to canteen vendor for daily operation and during overtime
- To update canteen vendor documentation (monthly work permit & typhoid record)
- To ensure hygiene and cleanliness of cafeteria and its compliance with the local health department requirements.
- To act as canteen committee and conduct monthly audit
- To update and maintain all employees data in the meal subsidy system.
- To provide monthly usage data on timely manner to canteen vendor for billing purposes.
- To attend and manage issues pertaining to the meal subsidy system in timely manner.
Uniform & PPE Inventory
- Managing employee uniform and PPE for new hire and Hershey employees
- To work with uniform vendor on the stock up for employee uniform
- To ensure PPE is in stock – safety shoes, earplug, bump cap, recycle, TA store, HIBE Stocks
Locker Management
- To oversee and manage employee locker, Flexi locker - locker no., keys, repair, audit, key missing etc
- To work with cleaning vendor for employee food locker cleanliness and maintenance
Employee Engagement & Relations
To support the sports & recreation activities, to organize festive celebration, annual dinner or family day, to attend to employees inquiries on HR policies & procedures, to coordinate employee pulse survey and MVOH, to set-up town hall meeting and monthly employees shopfloor communication meeting
Admin
- To maintain the overall housekeeping of the HR department at all time
- Process and submit the purchase request for HR department in the SAP system
- To regularly maintain the housekeeping the stationery store and uniform & PPE store
- To manage the stationery request and issuance to requestors
- Document Pigeon-hole - To regularly segregate the incoming letters
- Courier Service – Handling of incoming and outgoing courier letter/documents
- Lobby Glass Cabinet – To ensure the cleanliness and properly arrange
- Pantry Stock – To check pantry stock and refill when there is any shortage on daily basis
- Company events & Chocolate distribution
- Canteen Chocolate chiller - To regularly top-up chocolates in the chiller at the canteen
- Plan and execute the HR teambuilding, birthday celebration etc.
Others
- To provide assistance in driving recruitment activities or programs, to conduct HR orientation for new employees.
- To provide administrative support on all HR related projects or systems implementation such as reviewing non-professional handbook, MyHR, compensation & benefits survey, etc.
Minimum knowledge, skills and abilities required to successfully perform major duties/responsibilities:
- Able to communicate and interact effectively with all level of employees.
- Listening and conflict resolution skills with sensitivity to others’ needs.
- Pleasant personality, approachable and demonstrate collaborative behavior.
- Computer literate (SAP knowledge is an added advantage).
Minimum Education and Experience Requirements:
- Minimum Diploma in Business Administration / Human Resource or its equivalent education or experience
- Minimum 1 year experience in relevant job scope such as admin support
- Related working experience in a manufacturing environment.
