Job Summary
We are seeking a highly organised, discreet, and proactive Personal Assistant cum Legal Executive to support the Director in both administrative and legal-related matters. This role combines executive-level support with basic legal coordination, contract management, and corporate compliance assistance.
Key Responsibilities
A. Personal Assistant Duties (Director Support)
- Manage Director’s daily schedule, meetings, and appointments
- Coordinate travel arrangements, itineraries, and accommodation
- Handle confidential correspondence, emails, and communications
- Prepare meeting agendas, minutes, reports, and presentations
- Act as the first point of contact for internal and external stakeholders
- Monitor and follow up on action items from meetings
B. Legal Executive Duties
- Assist in drafting, reviewing, and managing contracts, MOUs, and agreements
- Ensure documentation compliance with company policies and regulatory requirements
- Liaise with external legal advisors when necessary
- Maintain proper filing system for legal documents and corporate records
- Support corporate secretarial matters (resolutions, board papers, etc.)
- Monitor contract renewal, expiry, and compliance deadlines
C. Coordination & Administration
- Support cross-department coordination (HR, Finance, Operations, Legal)
- Assist in special projects assigned by Director
- Ensure smooth execution of internal processes and approvals
Requirements
- Diploma / Degree in Law, Business Administration, or related field (Law preferred)
- 2–5 years experience as PA, Legal Exec, or similar role
- Knowledge of contract drafting and corporate legal documentation
- Strong organisational and multitasking skills
- High level of confidentiality and professionalism
- Excellent written and verbal communication skills
Preferred Skills
- Experience in corporate / commercial law environment
- Familiar with Malaysian company regulations & basic compliance
- Ability to handle fast-paced executive environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
